About the project

Project Goal

The primary goal of the platform was to transform traditional office workflows into an AI-first working environment, enabling the company to:

  • Reduce manual tasks by 50–80%

  • Standardize templates and processes across departments

  • Improve response time and service quality for customers

  • Ensure secure and structured data management within the organization

Problem Statement

Travel agencies often handle:

  • large volumes of documents

  • repetitive customer inquiries

  • complex visa and booking procedures

These tasks are time-consuming and prone to human error, especially when managed through disconnected tools and manual workflows.

Solution

To address these challenges, we designed a centralized AI Portal that integrates multiple intelligent modules into one platform, allowing employees to perform daily tasks more efficiently without switching between systems. 

The platform combines:

  • AI chatbots

  • document processing tools

  • speech-to-text

  • knowledge base retrieval

into a single, secure ecosystem.

Key Features

AI Chat Assistants

Each department is equipped with a dedicated AI chatbot trained on internal knowledge and workflows. This enables staff to quickly retrieve information, generate documents, and receive task-specific guidance. 

AI File Chat

Employees can upload documents such as PDF, Word, or Excel files and interact with them using natural language queries. The system extracts and analyzes content, allowing users to search and understand documents faster. 

AI Vision (OCR)

The platform supports image-based text recognition, enabling users to convert scanned documents or photos into editable text, which is particularly useful for processing passports, visas, and travel forms. 

AI Speech to Text

Audio recordings can be automatically transcribed into text and translated, supporting internal documentation and customer communication workflows. 

Knowledge Base & RAG System

The portal integrates a retrieval-augmented generation system, allowing AI assistants to answer questions based on company-specific data and documents while maintaining high accuracy and contextual relevance. 

System Architecture

The platform is structured around a centralized portal, ensuring that all AI tools, user management, and data storage are handled through a single secure entry point. 

This architecture enables:

  • easier maintenance

  • consistent user experience

  • strict access control and data privacy

Security & Access Control

The system includes role-based access and department-level data segmentation to ensure that employees only access information relevant to their responsibilities.

Key security measures include:

  • two-factor authentication

  • complex password policies

  • user status and permission management 

User Experience Design

The interface was designed to be simple and task-oriented, allowing non-technical staff to adopt AI tools with minimal training.

Key UX principles:

  • clear navigation with module-based structure

  • minimal steps to perform common tasks

  • dashboard visualizations to monitor AI usage and performance

Impact & Results

By introducing the AI First Office platform, Hong Ngoc Ha Travel was able to:

  • accelerate internal workflows

  • reduce operational overhead

  • improve consistency across departments

  • enhance employee productivity and customer response time
